SMCoach provides a mobile application for students to view their academic records, and a separate web-based admin panel for coaching institutes to manage those records. This Privacy Policy applies to the SMCoach mobile application used by students.
2. Who Is Responsible for Your Data?
The Coaching Institute: Your coaching institute (the one you are enrolled in) is the data controller. This means they decide what information to collect about you, why they collect it, and how long to keep it. They enter your data into the SMCoach admin system.
SMCoach (App Developer): We are the data processor. This means we provide the technology (the app and the admin panel) that allows your institute to manage and share your data with you. We process data on behalf of your institute according to their instructions.
3. What Data Does the App Display?
The SMCoach app displays information that your coaching institute has entered into the admin system. This may include:
- Personal Profile: Name, father's name, date of birth, enrollment number, batch
- Academic Records: Attendance, test results, marks, assignments, syllabus progress
- Financial Information: Fee breakdowns, payment history, dues
- Institute Communications: Notices, announcements, video topics
4. What Data Does the App Collect Directly?
The SMCoach mobile application itself collects very limited information:
- Login Credentials: When you log in, your username and password are used to authenticate your account and allow access to your institute records.
- Account Deletion Requests: If you submit a request to delete your account through the Help Center, we receive that request and forward it to your institute for processing.
The app does NOT access or collect:
- Location data
- Photos, contacts, or files from your device
- Microphone or camera data
- Browsing activity outside the SMCoach app
5. Where Is Your Data Stored?
All student data is stored on our secure servers (or cloud infrastructure) that power the SMCoach backend system. Your coaching institute accesses and manages this data through the SMCoach admin web section, and you view it through the SMCoach mobile app.
We implement reasonable security measures including encryption and access controls to protect this data. Data transmitted between the mobile application and backend servers is protected using secure encrypted connections (HTTPS).
6. Who Has Access to Your Data?
- Your Coaching Institute: Authorized staff (admins, teachers) at your institute have full access to manage your data through the admin panel.
- You: You can view your own data through the mobile app.
- SMCoach (App Developer): As the technology provider, we have technical access to the servers for maintenance, support, and security purposes. We do not access your personal data except when necessary to resolve technical issues or as required by law.
We do not sell, rent, or share your personal information with any third parties for marketing or advertising purposes.
7. Data Retention
Your data is retained in our systems for as long as your coaching institute requires it for educational and administrative purposes. If you have questions about how long your institute keeps your data, please contact them directly.
8. Account Deletion
How to Request Deletion
If you wish to request deletion of your account and associated data, you can submit a request through the app:
- Open the SMCoach app
- Go to the Help Center section
- Select "Account Deletion Request" and submit your request
What happens next
- Your deletion request is received by the SMCoach support team.
- The request is reviewed and processed manually by the system administrator.
- Once your account data is removed from the backend system, you will no longer be able to log in or access your records in the app.
Processing Time
Please allow 7–14 working days for your request to be reviewed and processed.
Important Note: Account deletion requests are processed manually. Submitting a request in the app does not instantly remove your data. Your request is placed in a review queue and will be handled by the system administrator.
Data That May Be Retained
Certain records may be retained if required for legal, academic, or administrative purposes (for example, attendance records or academic results required by the institute). In such cases, access to the app account may be removed while necessary records are retained according to institute policies.
9. Your Rights
Depending on your location, you may have certain rights regarding your data, including:
- The right to access your data
- The right to correct inaccurate data
- The right to request deletion of your data
- The right to object to processing
